Your smartphone is one of the best tools you could have for working on the road. It’s a mobile office—scanner and fax machine included. On those rare occasions when sending a document via email or text message won’t suffice, you could use your camera phone to photograph a document and use a mobile fax app to send it to a fax machine. The number of faxes you can send varies depending on the plan you choose, which start as low as $4.99 monthly for unlimited faxing and 20 GB worth of cloud storage. You can start with the trial personal plan, which gives a single user 1 GB of storage and 10 free outbound faxes.

Fax from computers: The evolution of fax from fax machines to online fax

Even if there are more advanced document transmission solutions like email and team messaging apps, fax continues to thrive as one of the most reliable ways to send files.

Of course, its usage has certainly dropped since its 1997 peak of selling 3.6 million fax machines in a year. It’s actually considered to be a historical artifact now—the Smithsonian Institution in Washington, DC, made it a point to include the fax machine in its collection.

This does not mean, however, that the world is done with fax as a file-sharing system.

In fact, there are many nations in the world like Japan—a country as advanced as it can get when it comes to technology—that still consider fax as an important part of doing business. It is also still the preferred document transmitting method for transactions in many healthcare and financial institutions because it is considered more secure than email.

This shows that fax technology is not obsolete at all and is actually thriving as a system for transmitting documents.

How did fax continue to be relevant today? Like any technology that thrives over the years, fax has done it by evolving and adapting to technology usage in the current business environment. In the case of faxing, it’s done it through internet fax via computers.

How to fax from your computer

In the past, before the internet became what it is today, fax machines ruled the peer-to-peer document sharing field. Every business on the planet had at least one fax machine—some even had a dedicated phone number for faxing.

However, with the internet taking over how the majority of business processes work, fax had to adapt. And adapt it did.

Now, businesses are able to send faxes over the internet using their desktop PCs or laptops. But how do people fax online using their PCs or laptops without a fax machine?

The answer is through online fax software, programs, or services that you can run on your PCs.

One of the top fax software for PCs right now is RingCentral Fax ® . Businesses can subscribe to a RingCentral plan for standalone online fax service.

With RingCentral, you get an easy and convenient way to fax from your computer. Simply add the recipient’s phone number, attach the document you want to fax, and send.

How to fax

Some slow-moving businesses and government agencies may not accept documents over email, forcing you to fax them in. If you are forced to send a fax, you can do it from your computer for free.

We’ve previously covered ways to electronically sign documents without printing and scanning them. With this process, you can digitally sign a document and fax it to a business — all on your computer and without any printing required.

How Fax Machines Work (and Why They’re So Inconvenient)

This isn’t as easy as it should be. Fax machines are all connected to the plain old telephone lines. When you use a standard fax machine, that fax machine places a phone call to the number you specify. The fax machine at the destination number answers and the document is transmitted over a telephone call.

This process was invented before the Internet and seems laughably archaic at this point. To perform a fax, a person may type up a document, print it out, and scan it into the fax machine which sends it over the phone line. The person receiving the fax may then scan the faxed document and turn it back into a digital file. They’ve come full circle — the document was sent from one computer to another computer with much additional work and lost image quality.

Ideally, you’d be able to submit a document via email or a more secure online method. Many businesses consider fax a secure method of transmitting documents, but it really isn’t — if someone was snooping on the phone line, they could easily intercept all the faxed documents.

There’s no way to connect to a fax machine directly over the Internet, as the fax machine is only connected to telephone lines. To perform a fax online, we’ll need some sort of gateway that accepts documents via the Internet and transmits the document to a fax machine. That’s where the below services come in. Give them a document and they’ll do the annoying work of dialing up the fax machine and sending your document over the telephone line.

How to fax

You Could Fax With Just Your Computer, But…

You could skip the below services, of course. Microsoft Windows even contains a Fax and Scan application that allows you to send faxes. The catch is that you’d need your computer connected to the phone line — yes, this means that you’d need a dial-up fax modem. You’d also need a landline telephone connection and you’d have to tell people to stay off the phone when you’re sending faxes, just like in the old dial-up Internet days. Of course, if you were faxing a lot, you could pay for a dedicated fax telephone line — this might even be necessary if you were receiving a lot of faxes.

This obviously isn’t ideal. Sure, if you need to send quite a few faxes, go ahead and buy a fax machine or modem and hook it up to your landline. But you probably don’t need to send and receive faxes this often — you hopefully just need to send the occasional fax whenever you bump into an organization that’s stuck in the past.

Scan the Document or Use an Existing Digital File

The basic process is simple. First, you’ll need to scan the document you want to fax, just as if you were going to send that document over email. if you don’t have a scanner lying around, you may want to try scanning it with your smartphone. If the document is already a file on your computer, congratulations — you don’t have to scan anything.

With the document now in digital form, you can send it along to a service that will do the annoying fax work for you.

Send Faxes Online, Free

There are so many online fax services out there that it’s hard to make an informed decision about which one to choose. The first thing to consider is what kind of a user you are, how often you’ll be faxing, and what features you need.

Power User: RingCentral Fax

If you are going to be sending sensitive faxes all the time, or you work for a company and you’re trying to choose a service, RingCentral Fax, which is partially owned by Cisco and AT&T, is probably the best choice for your needs, especially since they have a lot of great security features and support for multiple users with separate fax lines.

It has all the features you can imagine, including integrations with Outlook, Google Drive, Dropbox, Box, and you can even get a toll-free number. It also has a lot of security features that would be useful for businesses or people that are transmitting secure information.

Of course, if you just want to send a few faxes, you can sign up for one of their cheap plans… and then just cancel after a month or two.

Occasional User

If you do need to send the occasional fax, we recommend signing up for a free trial of MyFax, which will let you send up to 100 pages, which is more pages per month than most people have to fax per year. If you do need to fax frequently, you can upgrade to a regular plan.

How to fax

Receiving Faxes

If you do need to receive faxes, you’ll have to sign up for a paid service. The service will need to establish a dedicated phone number for your fax line, and that costs money. RingCentral, MyFax, and many other services will do this if you pay.

Luckily, you should at least be able to get a free trial — RingCentral offers 30 days of free fax receiving, for example.

There are many fax services to use, and if you just need to send the occasional fax, you can manage to do that for free, but if you want to receive a fax, you’ll end up needing to sign up for a trial account. You can always cancel if you want.

Though email has boosted business productivity by facilitating quick and efficient communications with customers and partners, regardless of their geographic location, some business-related transactions involve original documents or facsimiles in order to satisfy legal requirements. When an email attachment will not satisfy the law, a fax machine or computer just may be the answer.

Fax Machine

Create a fax cover page for your transmission. Most companies have a standard cover page with the company logo and space for the number of pages to be transmitted, including the cover page. Include sender contact information in case there is a transmission problem, and recipient information so the document can be delivered to the right person.

Place the pages on the tray so that the cover page will transmit first. Most fax machines have an input tray or slot to receive the document to be transmitted. Be sure you orient the document according to the instructions that are usually found on the machine or tray itself. If you place it the wrong-side down, you will transmit a blank sheet of paper.

Enter the phone number of the destination fax machine on the fax machine’s keypad. Your business’s phone system may require you to enter a number to acquire an outside line, so be sure to follow your internal procedures for phone calls.

Press the “Start” or “Send” button to begin the transmission. The fax machine scans the document, dials the destination number and transmits the document. When finished, it prints a transmission status page with either an “OK” or a “Transmission Failed” message. If the latter is the case, repeat the process.

Computer and Scanner

How to fax

Scan the document you want to transmit into a word processing document or an imaging document. Settings depend on your particular scanner, but should be at least 300 dots per inch, or dpi. Document types available may be “Image,” “Text,” “Color” or “Black and White.”

Click “File,” then “Print.” If you have fax software installed, you should see “Fax Printer” as one of the options. If you do not see this option, install the fax machine’s software on your computer. Select the “Fax Printer” and click “OK” to start the fax information dialog process.

Enter information into the dialog boxes. This includes sender and recipient information, as well as the phone number of the recipient’s fax machine. You may have the option of sending a cover sheet that will incorporate all of this information. Click “OK” or “Finished” on the final dialog to start the fax process and open the fax monitor window. If your computer’s volume is on, you hear the dial process begin, and when the fax is sent, you get a confirmation in the fax monitor window.

While fax machines might seem archaic now, the truth is that many companies and organizations still use them.

This can cause real problems if you need to send a fax, but don’t have access to a fax machine of your own.

Luckily, there are a variety of ways to send faxes without a fax machine. One of these options is GotFreeFax, which lets you send a limited number of pages for free, and then more for a small fee afterwards. Other options, like Send2Fax, have you pay a set price upfront to send a large number of faxes.

In this guide, we’ll use GotFreeFax. Note that GotFreeFax only lets you send faxes — to receive them as well, you’ll need to use another service.

How to send a fax without using a fax machine

1. Visit the GotFreeFax website.

2. In the “Sender Info” fields, enter your name, and email address. Note that while there is a field for fax number, if you don’t have one, you can leave this field blank.

3. Under the “Receiver Info” field, enter the name and fax number of the receiver. You can also enter their email address and company name if you have it. Otherwise, these fields can also be left blank. You can also enter a subject if you want.

4. In the “Fax Content” section, type in any text you want to accompany your document. Then choose up to ten files to attach and fax. Note that these files can be in JPG, PDF, or Doc format. Checking “Use No-Ad Free Cover Page” at the top will add a cover page to your fax.

5. When you’ve completed all necessary steps, click “Send FREE Fax Now!” in the “Free Fax Service” button below the fields you’ve just filled out. There’s a premium service available to the right of that field, should you need to send more pages.

6. Your fax should then be sent to the desired recipient. Note that there is a limit of two free faxes per day, with a maximum of three pages per fax for the free version.

How to fax

Have multiple documents that you need to fax? Want to combine them into a single fax to send at all once? One of the great things about RightFax is its ability to streamline the fax process and make things faster and easier for users.

Here’s how you can use print-to-fax with FaxUtil to combine multiple documents into a single fax.

Combining and Sending Multiple Documents as a Single Fax

You can combine nearly any two (or more) documents into the same fax, even if the files are in different formats. To do this, you will need to print both of them to your RightFax printer for sending, but leave out the sender information. This trick will place both documents as faxes into FaxUtil where you will be able to combine them before sending.

Simply follow these step-by-step instructions:

  1. Open the first document you want to combine and send.
  2. Select “File” and then “Print.”
  3. Use the drop-down menu to set the printer to the “RightFax Fax Printer.”
  4. Select “Print.”
  5. The “Fax Information” window will appear. DO NOT fill out any information. Just select “Send.”
  6. This will cause the “RightFax FaxUtil” window to open. The fax will not send and the status will appear as “Information Incomplete.” Ignore this for now.
  7. Open the next document you want to fax and repeat steps 2-6.
  8. Repeat steps 1-7 for any other documents you want to combine.

All of your unfaxed files should now appear in RightFax FaxUtil with their status set as “Information Incomplete.” To combine and send them, follow these steps:

  1. Select all faxes using by holding down CTRL and clicking on each of them individually.
  2. Right click and select “Combine.” The “Combine Faxes” window will appear.
  3. You can change the order that the files appear in the fax by selecting them and using the arrow buttons on the right to move them up or down on the list.
  4. When you are finished reordering, select “Combine.”
  5. The “Fax Information” window will appear again. You can now fill out your recipient’s information, add a cover sheet, etc.
  6. Send your fax as usual.

How to send fax from Outlook quickly and easily with WiseFax?

WiseFax is a simple to use efax service that allows you to send a fax directly from Outlook to any fax number in the world quickly, easily and securely. After composing a new message, provide the recipient’s fax number. You can do this by inserting recipient’s fax number into the “To” field. Just insert it in the form of “”. For example, if you wish to send a fax to +1-347-354-1750, then simply put “[email protected]” into the “To” field. Make sure that you include the country code as well. You can send documents to one or more fax numbers at once. Define multiple recipients by separating recipients’ addresses with semicolons (for example: “[email protected];[email protected]”).

How to fax

Attach one or more files that you want to fax. WiseFax supports a large set of document formats, so you do not need to convert your documents before faxing. Simply attach PDF, Microsoft Office, Apple iWork, LibreOffice, OpenOffice, Hancom Hangul, ScanWritr documents, or JPEG, GIF, PNG, HEIC, TIFF, BMP bitmaps and scans to your email.

Including a cover page to your fax is easy, too. Your email’s subject line will automatically become cover page’s subject, and email’s content will become the cover page’s message. If you do not want to attach the cover page, just leave the email’s subject line empty. Sending fax from Outlook is so easy!

Signing-in and confirming fax

You will get a confirmation email from WiseFax a few seconds after sending your first email. In order to confirm sending your email to fax, simply follow links within the email. All subsequent emails will be faxed automatically.

If you do not have enough fax tokens to send your fax yet, WiseFax will automatically redirect you to a page where you will be able to buy required number of fax tokens. After doing that, we will start sending your fax.

You will receive an e-mail confirmation as soon as your fax will be delivered to the recipient.
If for some reason WiseFax will be unable to send fax from Outlook (for example if the recipient’s line will be temporarily unreachable or busy), then you will also receive an e-mail notification from WiseFax. You will then be able to fax your document once again later without purchasing additional fax tokens.

Faxing is definitely back-in-the-day, but when you need it, you need it. Here are some useful apps that will help you make retro connections to old-school organizations.

Have you ever had one of those days when you’re pulled out of your normal routine and you suddenly have to adult-up in an old-school kind of way? You have to somehow produce an important document out of thin air, right-the-heck-now. Or you have to get some important document that lives in meatspace and send it to someone else who lives in meatspace. and yes, you need to do it right-the-heck-now.

  • The fall of Paytm: Warren Buffett’s only Indian investment

I don’t enjoy those days. But, thankfully, I have a set of tools that makes the process manageable.

I’m talking about scanning and faxing from your iPhone. Scanning is probably the one you’re most familiar with. Your iPhone has a camera. You take pictures of just about everything with it. So, scanning a document is a natural extension of the taking pictures of everything thing.

But faxing? Seriously. Does anyone fax anymore?

Yeah, they do. I’ll give you one example from when I was handling some really tough family stuff. My dad (who has since passed away) was in the hospital. The care team needed some medical records right away for urgent care, but the medical records office at the facility my dad had been transferred from was closed for the night.

As it turned out, I had received copies of those documents earlier. They were stored in my Evernote. I couldn’t print them at the hospital because they didn’t have a printer I could access. But they did have a fax machine. So, I pulled the document out of Evernote and faxed it — all from my phone — to the hospital’s fax machine. The important document was in the doctor’s hands in five minutes, instead of sometime the next day when it well might have been too late.

Over the time caregiving for my parents, I had to pull the fax-documents-from-my-phone trick numerous times. I also needed to transfer documents while on the road traveling. There were times all I had was my iPhone, and I needed access to my entire document library. I talked earlier about how the cloud helped me in these circumstances, but a critical piece of the puzzle has always been the scanning and faxing capabilities of my phone.

How to do it

As with everything on the iPhone, if there’s one app in a category, there are fifty. Rather than run down all the possible apps you might use, I’m going to just showcase three apps that I use for scanning and faxing.

My first go-to app is Scannable, a free app provided by Evernote. Scannable is smart in how it grabs documents. It easily finds the natural edges of a page. You can capture a bunch of pages in a row, and either upload them to Evernote or send them to another application.

I like how Scannable lets you turn a flashlight on and off to get better images in less-than-ideal environments. It also de-warps documents (at least a bit), so if you take a picture of a document from an off-angle, Scannable does its best to square up the corners and present a clean image.

As useful as Scannable is, it doesn’t help with one problem: glare. Have you ever tried to take a picture of another picture and had glare from a ceiling light obscure some of what you were trying to capture? It’s a paradox of capturing glossy images. If you get enough light on the object to get a good shot, you’re going to get some glare.

To get around this problem, I use PhotoScan, from Google. PhotoScan is available for both iOS and Android.

You use it by holding the phone over a photo you want to scan. PhotoScan will present four white dots. You need to angle or move the phone to make sure a targeting pointer is inside each of those dots.

As you do, PhotoScan grabs images of the photo you’re scanning, from slightly different angles. By doing this, the program gets different views of the photo being scanned. This allows it to stitch together all the views and angles, building a composite image that does not have the glare in the final picture.

How do I send a virtual fax?

Send faxes through email, removing the need to have a physical fax machine and allowing you to fax on the go. Not available in Brazil and Mexico.

  1. From your email account, compose a new message.
  2. Enter [email protected]‹domain› in the To: field.
  • Replace faxNumber with the external 10 digit fax phone number, without the 1 or any dashes (e.g., 8012321987 ). You cannot send a virtual fax to an internal extension or a number that requires an extension (e.g., 8012321987 ext 1121 ).
  • Replace ‹domain› with your unique domain. Classic Jive admin portal users will find their domain in the parentheses at the top of their portal dashboard. GoTo Admin portal users will find their domain in Account Settings.

Enter the virtual fax machine’s access code in the Subject: field. If you add a subject, enter a space after the access code and then include the subject (e.g., 294034210 March Invoice).

  • Remove all text from the body of the email, including email signatures.
  • Attach file(s) to the email. If including a cover sheet, attach that first. Supported file types:
    File Type File Format
Microsoft Office .doc, .docx, .ppt, .pptx, .xls, .xlsx
    Document .pdf, .rtf, .txt
Image .jpg, .tiff, .png, .bmp, .gif
  • Click Send.
  • This tutorial video demonstrates how to send faxes using our integrated faxing service. Please note that you must be registered for the faxing service in order to send a fax through Practice Perfect.

The faxing service allows you to fax anything through Practice Perfect. You can fax any document from the ‘Activity by Progress Note’ screen, the ‘Activities by Documents’ (i.e. PDFs, scanned images, MS Word documents, etc.), and invoices. Each fax includes a cover page, can be recorded in the ‘Contact Log’, and will receive an email confirmation that lets you know the fax was a success.

You may also fax multiple documents at the same time. However, you must ensure that they are the same type of document.

I wanted to thank you for your help, staff and concern. We had been using another software company for many years and have not had very good customer service. My main reason for looking for a new company was cost and customer service. We got both with PracticePerfect. I can say I truly appreciate the cost of the program and I cannot express enough just how much each of us appreciates the kind people that we have been working with at PracticePerfect. Your software does more than my old software did at a fraction of the cost and the customer service is top notch. I am truly grateful for having met you and your staff. Thank you,

    Anna Houghton

    Accra Physical Therapy

I have used the PracticePerfect at two clinic locations for over ten years. One of the most important reasons for staying with PracticePerfect is the fact that they listen to the users’ suggestions and issues and address them in subsequent upgrades. The reports give a very detailed picture of the clinic’s financial and client data in an easy-to-read format. It allows the clinic to make predictions and plan for future growth and development. I would recommend the PracticePerfect program to any Physical Therapy clinic.

    Quintin Wismer

It is my pleasure to be working with PracticePerfect. Their team has been friendly and helpful, the cost very reasonable, and the service particularly impressive. PracticePerfect has proven consistently to go beyond what is expected. I have not told you recently – thank you for your ongoing work to meet our needs. I appreciate it very much.

The PracticePerfect program is an extremely user-friendly system to use. New features are continuously added to make operations of a front desk quick, efficient and organized. The visually friendly scheduler helps maintain effective booking and the reporting system allows you to balance your daily activities. The PracticePerfect development team is extremely accommodating at implementing new features and assisting users when questions arise. The remote access both saves time and money when monitoring business operations from out of the clinic.

    Eramosa Physiotherapy Associates

We have been using PracticePerfect as an organization for over 2 years and what can we say – we love it! Gone are the days of searching for appointment times on paper schedules, tracking patient coverage, their appointment times, how often they come, now all this is available at the touch of a button. This doesn’t even cover the easy way to keep track of notes, messages and reminders. PracticePerfect makes work life so much easier. Much more productive and efficient! The staff at PracticePerfect are always willing to take our ideas or needs and implement them into the software. Great product, great software and very helpful support staff.

One vital part of being The Source for Health and Wellness, is diversity. The same diversity we find in the Practice Perfect EMR system. It is ever changing and updating, keeping up with the needs of our office and in the healthcare environment. Each update has offered more options, ease of use, and ways to better provide excellent service to our patients. Our billing specialist was impressed with the ability to easily track payments, and to copy patient information to a new incident without retyping the whole file. Similarly, several staff members that had never used any other system, had felt that Practice Perfect EMR was very easy to navigate and straightforward, making it easy to learn with little or no experience with other medical software. As an administrator, I feel one of the often over-looked but absolutely important to any consumer, is the availability to speak to another human being when a question arises. I have personally, called to ask about specifics, and was greeted by a human, not an answering machine, that walked me through the program and explained how to do what I needed. This is a huge factor in why I am so satisfied with Practice Perfect EMR. Overall, this system provides a fast, easy, and convenient way to do business in the medical field.

    Full Function Rehabilitation & Wellness

Practice Perfect was easily integrated into our clinic due to its versatility and extremity helpful support staffs that are quick to respond to problems, but also does not quit until all concerns or questions have been answered. Full Function has easily set up its schedule to show different colours to represent different treatment types and times so that a quick glimpse at the schedule screen can easily tell what the patient is receiving. Practice Perfect offers multiple reports that can be customized making accounting and patient follow up an easy process. Practice Perfect is a great all around software that takes the ease out of running a clinic and a great addition to the Full Function Rehabilitation & Wellness team.

Our clients include Physical Therapists, Speech Language Pathologists, Occupational Therapists, Chiropractors, Psychologists, Naturopaths and pretty-well anyone else in the physical rehabilitation and wellness world.

Our innovative PracticePerfect Management & EMR software is designed to streamline clinic processes and provide key operational information giving staff with more time to spend on business-building and revenue-generating opportunities.

Luckily, the process is not difficult. Technology provides us with some practical ways of faxing documents. DoNotPay will explain various faxing methods and help you access the easiest one.

What can’t you do with a cell phone these days? The latest models allow you to take pictures, record movies, watch TV, play music, browse the Internet, send e-mails and even make the occasional phone call.

But what if you want to use your cell phone’s multimedia technology for more than just entertainment? What if you actually need to get some work done? No problem. With a simple camera phone and some new software, you can turn any mobile phone into a scanner, fax machine and copier.

Camera phones are everywhere. According to 2007 statistics, 79 percent of cell phones sold in the United States had a built-in digital camera [source: RCR Wireless News]. An estimated 1 billion camera phones are in use around the world [source: ComputerWorld]. The picture quality of these phones is improving quickly. Some cell phone manufacturers have already released five-megapixel camera phones and there are rumors about a 10-megapixel model hitting the shelves any day now [source: AsiaMedia].

Scanning and faxing from a cell phone works through the same technology as Internet faxing. A document, in this case a digital photograph, is e-mailed to an Internet fax service that converts the digital photo into fax data. The fax service then sends the fax to the recipient over a phone line. For more information, read How Internet Fax Works.

The cool thing about these new cell phone “scan and fax” services is that they can optimize and compress camera phone images into clear, readable PDF documents. Using special imaging algorithms, the cell phone scanning software can take a photo of an open book — with shadows in the crease and curved pages — and turn it into a flat image with uniform background color and sharp text. The software also simplifies the image, getting rid of unnecessary digital noise to make the file smaller and easier to send over a cellular data network.

What exactly do you need to scan and fax documents with your cell phone? Does it work on all camera phones? Is it expensive? Read on to find out how to get started scanning and faxing from your cell phone.

    How to fax

There are many different forms of communication in the digital age in which we all live.

The internet has seemingly made the world smaller and it is now possible to communicate with people anywhere on earth almost instantly.

You are most likely familiar with common current communication methods such as email, phone, and even video calls. The ability to send information so quickly is an amazing part of the age we are all a part of.

Older methods of communicating and sending information do still exist. Some people still have landline phones and others still send faxes. In this article, we will look at how to send a fax from your MacBook Pro if you ever have the need to do so.

Even though this form of sending and receiving text information is a bit dated, it is still possible and a task you might want to perform at some point.

    What is Fax?

A fax is essentially a copy of an image or document made by scanning that is then transmitted in the form of data over telecommunication links. Fax machines were popular for a variety of purposes before the age of the internet.

By using one of these machines, you could send important documents and information much faster than ‘snail’ mail and it was a sign of the progress in communication that was to come.

    How to fax

A fax is sent by converting images or text information from a scanned document into bitmap format which can then be transmitted over the telephone system in the form of audio-frequency tones.

If you’ve ever seen a fax machine in action, you will no doubt recall the robotic modem sounds that are created when a fax is being received. Many businesses and organizations had fax machines as integral components to their daily operations.

Think of fax as like the original way to send an attachment, as we do with modern email. Although fax machines are not as common as they once were, they do still exist and it’s possible to send one over your computer if you have the correct hardware or software to do so.

Can My MacBook Pro Send Faxes?

The short answer to this is yes. Your MacBook Pro can indeed send a fax. But you might need to install software to do so unless you have a really old MacBook that has a built-in fax modem.

We will take a look at how to send a fax with any MacBook below but basically, if your computer has a standard phone input, it probably has the ability to send faxes. If it doesn’t, you’ll need to download software to have the ability to send a fax.

How to Fax From a MacBook Pro

As I indicated above, there are basically two ways to send a fax from your MacBook Pro.

One method is to use the hardware that might be built into an older model Mac to complete the task over a phone line and modem. The other is to download software that will enable your computer to send faxes to fax numbers around the world.

The software method is much more popular these days but we will take a look at how to send a fax both ways.

How to Send a Fax with Built-In Hardware

If your computer has a phone line input built into it, you can use this to send faxes from any application that allows you to print documents. A MacBook equipped with this phone line input has a built-in fax modem that will allow you to complete the task and you won’t need to use an external fax machine.

    1. Plug in the phone line into your computer’s phone input.
    2. Open the document that you want to fax.
    3. Click File from the top menu.
    4. Click Print.
    5. Click the PDF button on the bottom.
    6. Click Fax PDF from the drop-down menu here.
    7. Enter the Fax number where you want to send the document in the To field.
    8. Click Use Cover Page if you want to include a cover page in the fax, you can type a subject line or intro message here as well.
    9. Click Fax.

How to Send a Fax Using Fax Software

If your computer is more modern, there is a pretty good chance that you will not have a phone line for an input option. In this case, you’ll need to download faxing software in order to be able to send a fax.

There are many different programs that will give you the ability to send a fax after you download and install the software and we will take a look at a few of those options here.

Since each one of these software options has a different user interface, I won’t explain how to send a fax from each. Instead, I’m going to list some popular faxing apps with a brief description and you can choose whatever program you think is best. All of these will afford you the ability to send a fax quickly and easily.

    • iFax – The Mac store claims that this is the most popular faxing software in the world and it is designed to work really well with your MacBook Pro. Easy to use and free for a week, then you’ll have to pay.
    • FaxPro – Another great fax app for your MacBook that is simple and easy to use. There is an upfront cost but then you can send unlimited faxes from there on out. I like this over monthly subscription models.
    • FaxDocument – This app has my favorite interface that is really easy to use with a drag and drop style to send faxes. It has a simple layout and is self-explanatory to get started with sending faxes.

    Final Thoughts

Now you know how to send a fax from your MacBook Pro.

If you download one of the software options, it really is easy to send a fax. If you want some more options for faxing software, take a look at these. If your computer has a phone line, it’s also really easy to send a fax utilizing the hardware that is already built into your computer.

Either way, sending a fax is still possible today even though it might seem as old as a telegram!

Have you ever sent a fax from your MacBook? Did you use software or built-in hardware?

This is a great article! Thank you! I had a printer with a fax, until the printer died after 10-15yrs. (Epsons are good that way) I bought a new printer without a fax and kept the old printer just for the fax. I hardly ever fax, anymore, so needed to throw out the bulky printer! Either I will purchase your recommended software or walk to the library!

As computers evolved during the 1990s and 2000s, many businesses replaced their fax machines with PCs that included modems. These can still work for faxing documents you create on the computer. But if you have a hard copy of a contract or other important business document, you need to digitize it first, and that’s where a scanner comes in handy. Once you’ve scanned your document, use Microsoft Fax and Scan, built into Windows, to put your fax modem into action and fax the document with your computer.

    Step 1

Insert the document you want to scan and fax into the scanner or copier with the scan function.

    Step 2

Click “Start,” “All Programs” and then “Microsoft Fax and Scan.”

    Step 3

Click “New Scan” on the Microsoft Fax and Scan toolbar. Click the “Scan” button, and then wait for Windows to scan the document in the scanner and display a copy of it in the preview window.

    Step 4

Right-click the preview image of the scanned document, and then click “Forward as Fax.” After a few seconds, a new fax window appears with the scanned document attached.

    Step 5

Click the “Cover Page” drop-down list box in the fax window and choose one of the cover pages types. Alternatively, click “(None)” if you don’t want to send a cover page with the scanned document.

    Step 6

Click the “To:” button to open the Select Recipients window. Click the name of the contact you want to receive the fax, and then click the “To->” button to add the contact name to the Message Recipients list box. Alternatively, click the “New Contact” button and follow the prompts to create and add a contact in your address book.

    Step 7

Enter text describing the fax in the Subject field or leave the default subject created by Windows Fax and Scan in place.

    Step 8

Type text for the cover page — if you opted to use one — in the message box beneath the Attach field.

    Step 9

Click the “Send” to initiate the fax modem and dials the fax number of the selected contact. After the fax modem connects to the remote fax machine, Windows Fax and Scan sends the scanned document.

There are multiple ways to send faxes today. Computer fax applications can make sending a fax easier and faster than the traditional fax machine. However, fax machines are still in wide use today, both on the receiving and sending end. You can also use online fax services to send faxes. Some of these services are free. Since there are several options to send a document to a fax machine, choose the one that is most efficient and practical for your situation.

    Send by Fax Machine

Print out the page or pages that you want to send. Include a cover letter if you are sending a professional document with several pages.

Put the page in the printer according to the fax machine’s specifications. A diagram is usually printed on the paper tray of the machine that shows how to position the paper. You will need to either put the pages face up or face down on the paper tray. The fax machine may feed paper from the back of the stack of papers if you have more than one, or it may send the top paper first. Read the owner’s manual to find out the machine’s specifications. Whether the first page is printed first or last does not necessarily matter, other than the fact that the page order, including your cover page, will be reversed on the receiving end.

Enter the recipient’s fax number. Dial the area code first if you are sending the fax to a local location that requires a ten digit fax number. Make sure to enter “1” before the area code if the fax is to be sent long distance. If you are sending to another country, include the country code and city code, if necessary. If you need to dial a number to reach an outside phone line from an office building, press that number first.

Press the “Send” button on the fax machine. You should hear a dial tone and then the fax number being dialed by the fax machine. You will hear a modem tone when the fax machine is connecting with the receiving fax machine.

    Send by Computer

Install a fax modem on your land-based phone line. This is important if you do not plan to use an Internet-based fax service.

Scan the document you want to fax if you do not have a copy of it saved on your computer. You can also send a fax from an open document in a word processor.

Open the file you want to fax. Select “Print” from your open file, and choose “Fax” as your printer. This will open the fax wizard. Follow the prompts to fill in the fax number and add a cover page to your fax. Send the fax according to the wizard’s instructions.

Utilize online fax services as another option for using your computer to send faxes. FreeFaxButton, FreePopFax and eFax Free are a few available online faxing services that allow you to fax documents for free.

    Items you will need

Fax machine (if not using a computer)

Scanner (if document is not saved on your computer)

    Fax modem (for computer-sent faxes)

Land-based phone line (if using computer fax software or fax machine)
